You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

How we get the personal information and why we have it 

The personal information we process is provided to us directly by you, to access our products and services, or in the course of employment. In the case of photographs and videos, these will be taken at public events or with explicit permission. 

We may e-mail you directly on the basis of legitimate interest. 

On the rare occasion we need to use a physical mail service, we may share your information with our chosen postal or courier service. We will limit the information shared to that necessary to perform the service, in most cases this will be your name and address. 

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are: 

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting info@volantautonomy.com 

(b) We have a contractual obligation. 

(c) We have a legitimate interest. 

How we store your personal information  

Your data is stored on our secure servers, protected by the measures set out in our information security policy, or in the case of physical media, within our secure offices. 

We store your data for as long as you have an account with us. Should you ever close your account, data related to Flightplans you have created, application interactions will be retained for up to seven years. Your email address may also be retained for up to seven years in config history, backups etc., but it will no longer be associated with your other data, effectively anonymising your application usage history. 

Where you have consented to us using your details for direct marketing, we will keep such data until you notify us otherwise and/or withdraw your consent. 

Data processors 

Amazon Web Services 

This data processor does the following activities for us: Cloud computing including user directory and user interaction logs. 

Xero 

Invoices and payments are managed through Xero who are a data processor for this purpose, and all information of that kind is stored within the Xero application and with our bank. Xero is an established payment processing software and is certified as compliant with ISO/IEC ISO27001:2022. For more information see: https://www.xero.com/uk/security/ 

We are required under UK tax law to keep your basic personal data (name, address, contact details) for a minimum of 6 years after which time it will be destroyed. 

How to complain 

If you have any concerns about our use of your personal information, you can make a complaint to us at the addresses given above. 

You can also complain to the ICO if you are unhappy with how we have used your data.
